Medical Transcription sector to boom despite recession: report

Despite global economic downtrend, the Medical Transcription (MT) industry is looking for a further growth buoyed by a report of the NASSCOM stating that recession has not hit the healthcare industry.

Reverse is the trend in medical transcription outsourcing in the US, which is witnessing agonising attrition in large scale in IT, financial, manufacturing and other sectors.

As per a NASSCOM report, the MT industry will be worth Rs 40 billion by 2010 and could employ as many as 50,000 people. It predicts that this industry is here to stay for at least 10 years.

It estimated the size of the US MT industry, which is in the range of around $ 12 million in 2005, would reach $ 16.8 billion by 2010. The work offshored was expected to be in the region of $ 860 million in 2010, of which India is expected to capture $ 647 million. India remained a preferred offshore destination primarily due to availability of manpower and industry maturity.

The report also expected the employee strength of 18,000 in 2006 in India-based MT vendors would reach 52,000 by 2010. For an industry that witnessed too much crowding, too fast in India, a report conducted by US-based Stevens International Consulting expected the value of MT outsourcing in the US to double by 2005 to $ 4 billion. India could take as much as two-thirds of that increase, providing work to 45,000 transcribers.

Professional Transcription and Your Business

Got stacks of audio tapes that need to be converted to a more user-friendly format? Professional transcription services may be the answer.

Professional transcriptionists can take standard or micro cassette tapes and produce a typed version of the text in a format that's clear, consistent and correct. They can create transcripts of taped meetings, training sessions, seminars and conventions, as well as dictated letters, reports and manuscripts. Once the information is transcribed, you can easily email, fax or post it to a Website.

Accuracy Is Essential

Transcribing actually covers a variety of services. It can include whatever editing is necessary to make a report or letter 'flow'. It can also include the tweaking sentence syntax, adjusting paragraphs, removing redundancies, and repairing general grammatical errors.

For some professions, a high degree of accuracy in transcripts is crucial. For example, medical transcriptionists must carefully listen to dictated recordings made by physicians and other healthcare professionals and accurately transcribe them into reports, correspondence and other administrative materials that eventually become part of patients' permanent files. Their ability to understand and correctly transcribe patient assessments and treatments reduces the chance of patients receiving ineffective or even harmful treatments and ultimately ensures high quality patient care.

Accuracy in transcripts is equally as important in other fields. In legal matters, it's essential because all testimony must be rendered exactly as it's spoken. Likewise, police detectives require precise transcripts of statements by suspects and witnesses. In the corporate arena, letters, meetings and training sessions must be properly transcribed for the sake of effective education and communication.

Requirements For A Good Transcriptionist

Whether you need medical, legal or general transcribing for your business, accurate transcribing requires a unique set of skills. But if your staff lacks the expertise or time to transcribe materials in house, an outside company can easily fill the void.

Working with an outside vendor offers a variety of cost-saving benefits, including:

  • No cost of special equipment.
  • No hourly employee downtime. You pay only for production.
  • No Social Security, payroll or unemployment taxes.
  • No medical insurance benefits, paid vacations and sick leave
But before you run out and hire the first transcription company available, make sure it has the skills to meet your needs. The outsourcer you choose should be:
  • Well-versed in the English language
  • Knowledgeable of the rules of grammar
  • Familiar with your industry
  • Easily accessible for questions

Digital transcription technology introduced

Digital transcription technology introduced to the High Court

Digital audio technology for recording and transcribing evidence has been introduced by the High Court in Wellington and Auckland. It is estimated that this technology will reduce court hearing time by between 20-30%, which will assist case throughput.

"For the Record or FTR, provides a high quality recording of the evidence which is then relayed to transcription staff located outside of the courtroom to be typed up as the trial proceeds. This is another demonstration of the Labour-led government's drive to modernise the court system to improve access to justice for all New Zealanders," Court's Minister, Rick Barker said.

How To Get Your Dictation/Transcription Needs Met

The process of dictation and transcription has become quite advanced in the past few years. Gone are the days of the quickly scribbled, often cryptic note in the patient's chart. Now there are so many compliance issues that it's sometimes tricky just to keep up. There are, luckily, a variety of ways to get your transcription done fairly painlessly.
  • You can talk into a microphone and send the tape to a transcriber. You can use micro or standard cassettes.
  • You can dial a phone number, give your I.D. number, dictate into the phone, and the transcriber at the other end will access your dictation, transcribe, and send back to you.
And there are the technological methods:
  • Drop your file at a pre-specified ftp site, and the transcriber will download it, transcribe it, and send it back to you as a Word document.
  • Send the file as an email attachment; transcriber will open, download, transcribe, and return.
  • Voice recognition: After installing the software, your computer recognizes your voice patterns, and you simply talk while sitting in front of your computer. With some voice recognition programs, you have the advantage of immediacy; if you're sitting in front of the computer and dictating, then your report is printed out immediately and you can sign off. The disadvantage is that you need to sit in front of the computer; unless you're using a laptop, this can be limiting. Blind dictation is more portable; you dictate from anywhere into a recorder. Then the data is downloaded to a computer that has your voice-recognition software installed. Recently, a server-side recognition style has been introduced. You call in to dictate; the advantages are that you are not limited to using a single computer, you are free to dictate anywhere without having to download digital dictation files, and you don't have to worry about returning memory chips.
The disadvantages to voice recognition technology include:
  • With the advanced models, you have to wait a day or two until the report is generated and sent to you to sign off. If there are errors, this will take even more time to edit.
  • Voice recognition demands a lot more of your time. Instead of spending a minute or so dictating into a phone or a recorder, you are stuck in front of a computer and correcting mis recognized words.
  • You are limited to using the particular computer that has your voice profile on it.
  • If you aren't doing the downloading and editing yourself, then you also have to add the cost of hiring an assistant.
You can get a general-purpose voice-recognition package for around $100 from your local microcomputer store; work with it for a week. It may be just what you need, or it may just add to your stress and frustration.

Outsourcing Cost Considerations

The cost of hiring the work out varies. There are factors involved that can sometimes be confusing. For instance, consider that there is a big difference between audio hour and transcription hour. The industry standard is anywhere from 1:3 to 1:6; this means it can take from 3-6 hours to type one hour of spoken dictation. The variables that need to be considered are:

 The quality of the recording
 The amount of background noise
 The speed, accent, and clarity of the speaker’s voice
 The transcriptionist’s familiarity with the terminology being used
 The number of speakers/audio format

Another factor to consider is the method the transcriptionist uses to charge. Some transcriptionists charge by the transcription hour, and some by the audio hour. The cost to you is not that much different, whichever method is used. But keep in mind that if you are being charged by the audio hour, then your rate is fixed; if by the transcription hour, then the rate depends on how fast the transcriptionist can type.

My suggestion is that when you consider hiring a transcriptionist for your dictation, have an open discussion beforehand of the work involved, and what your expectations are. This way both of you have some clarity around your expectations and the outcome of the project.

Finding the Right Transcriptionist

Your dictation is an extremely important part of your business. It documents major aspects of your clients’ lives. It is imperative that you find a transcriptionist whose expertise is the English language (that is , they must excel at spelling, grammar, punctuation, etc.), one who has more than a passing knowledge of your industry, and one who is accessible to you during the times that you would need to speak with them. Finding a transcriptionist that meets these qualifications would provide you with a unique partnership and hopefully, a lasting business relationship.

Make It Easier for the Transcriptionist

Use good quality equipment; test it first to make sure that the sound comes through clearly. Position microphones close to the speaker.

Make sure that your tapes are designed for voice dictation. They filter out background noise.

Speak clearly, and indicate the end of the dictation.

Dictate in as quiet an environment as possible. Move away from air conditioners and fans. Avoid noise, music, and acoustics whenever possible.

Don't eat or drink when dictating.

Discuss the purpose of the transcription and style preferences with the transcriptionist. Indicate whether you want the transcription to be verbatim, or if you want ums, hmms, ahs, etc. left out.

Spell unusual words and words with questionable spelling, i.e. Kathryn, Katherine, Catherine, or Caterine; this can help you avoid delays and revisions later. Provide supporting documents and words the transcriptionist may not be familiar with such as technical terms, names, streets, and cities.

Can speech-recognition software transcribe interviews?

I am about to start a university research project involving in-depth interviews. I am aiming to download audio files of interviews to my computer from a digital audio recorder. I would then like to use software to turn the recorded voices into text. I need to do this on as low a budget as possible.

Rachel Elliott

You can't do this at any price: even humans still have problems transcribing interviews accurately. After more than 25 years development, Nuance's Dragon NaturallySpeaking software can turn speech into text, and it can handle digital files. But it only works well if you have a clean file (without much hiss or background noise), and if the user speaks clearly and carefully.

Transcription Factors Binding Doesn’t Necessarily Lead to Gene Regulation, ChIP-chip Study Suggests

NEW YORK (GenomeWeb News) – A new study is revealing the stickiness of transcription factors, and its authors said should remind researchers of both the wealth and limits of genome-wide approaches to understanding molecular interactions.

Researchers from the Lawrence Berkeley National Laboratory and the Santa Clara, California-based company Affymetrix found more than they bargained for while looking for genomic DNA associated with transcription factors involved in fruit fly development. The six proteins they tested bound extensively — several thousand places on the genome. But much of the binding fell outside of sites believed to influence gene expression.

The authors claim these results, published in PLoS Biology online today, highlight the importance of careful analysis of interaction data. “Our conclusions differ from those of other groups who have not distinguished between different levels of DNA binding in vivo using similar assays and have generally assumed that all detected binding is functional,” the authors wrote.

Choosing The Right Transcriptionist

Converting a physician’s digital recordings into electronic documents isn’t easy. With so many medical terms and industry abbreviations to know, you need a reliable transcriptionist who is familiar with these terms and can accurately document the information.

A well-trained transcriptionist can handle multiple projects from a simple one-page diagnosis to a complex multi-page consultation recap. Medical transcription services can take a close look at what your practice does, and assign the right transcriptionist to help document all of your discharges, diagnoses, prescription data, consultations, and more.

BuyerZone can help you find the right transcriptionist for your practice. Simply complete an easy form to receive a free request for medical transcriptionist quotes, and we’ll have several top providers contact you to find the best fit. Once you start receiving quotes from multiple companies, it’s time to select the one you want to work with.

Transcriptionist traits to look for
To make it easier to hone in on your decision, here are some of the things you should look for in a transcriptionist:
  • Turnaround time – Whether you need a document within 1 to 2 days, or 2 to 4 hours, the transcriptionist should be able to adhere to the promised timeframe. Find out when they need to receive a project to get the quickest service and if they offer some sort of guarantee if they don’t finish the project in the expected timeframe.
  • Accuracy – The medical world is one where a seemingly small error can have big consequences. You can’t afford for a transcriptionist to make a mistake with a patient diagnosis or prescription information. Always look for a transcription service that emphasizes accuracy and reviews work before submitting finished projects.

  • Security – You need to protect patient data from falling into the wrong hands. Any transcriptionist you use must adhere to HIPAA regulations and uphold patient confidentiality. Make sure they send completed documents over secured web sites and learn how they protect your information on their premises.

  • Audit trails – To keep track of everyone with access to your information, a medical transcription service should be able to track who opens a document, who made changes, and when. This way, you know who to approach if you have questions.

  • Experience – Many medical transcription services require transcriptionists who completed a postsecondary training program at a vocational school or community college. Others may have some form of medical experience, either from a previous job or to earn extra income while in school. This ensures you have reliable personnel that will do the job right.

  • Certification - Look for medical transcription companies that employ Certified Medical Transcriptionsts (CMT). The American Association for Medical Transcription (AAMT) makes sure its members adhere to certain standards and stay on top of industry changes.

  • Consider offshore – Many transcription services hire workers outside the country. Offshore transcriptionists are less expensive, well trained, and because they live in different time zones, are available to turn around a project when a U.S. transcriptionist isn’t.

  • Industry specifics – If you have frequent transcription needs for your practice, or need a transcriptionist that specializes in your area of expertise, a medical transcription service can assign a team to your business. That way, they’re familiar with your practice and notetaking techniques so they can complete jobs faster.

  • Transcription methods – You’ll typically record notes onto a digital recorder or dial into a special 800 number. The transcriptionist then listens to the recording by opening an MP3 file, accessing an FTP server, or calling into the 800 number. Find out which methods the transcriptionist is most familiar with and choose the most convenient one.

  • More than transcriptions – Some certified transcriptionists may also perform other medical office duties such as admit patience, schedule appointments, and other clerical responsibilies. This gives you more options if you need other services for your practice.

Study Reveals Medical Transcription Services Organization Ratings

In the latest KLAS Medical Transcription Services Organization (MTSO) study, 3 years of provider ratings and commentary have come together to shed light on the current trends in transcription outsourcing. In the ever-changing world of transcription, the most recent MTSO study found an increase in provider satisfaction, adjustments in offshore vs. onshore attitudes and even more changes in transcription needs and pricing. In addition, providers shared best practices to help others navigate the quickly changing world of outsourced medical transcription.

Improved MTSO Performance
While providers have been satisfied with outsourced transcription in the past, scores rose 4.5 points this year, from 77.2 to 81.7 out of 100. Vendors showing the strongest improvement were CBay and StenTel. Only one vendor, SPi CyMed, experienced a decrease in provider scoring this year.

Overall, Encompass, Focus and StenTel had the highest performance scores of the 13 MTSOs that qualified for inclusion in the main body of this report. Vendor scores ranged from a low of 73.7 to a high of 88.3. See Table 1.

It is interesting to note the changes in vendor scoring between 2006 and 2007. Table 2 shows the shift in performance scores, ranks and commentary since the 2006 MTSO report. Encompass, Heartland, MedScribe, Superior and TransTech did not have sufficient 2006 data and were therefore excluded.

How to Improve your Typing Speed

Typing is a skill that I never took the time to learn in high school. I never thought I’d need it. As an adult, I have found that typing is a necessity. For an at-home business like medical transcription, typing well and accurately could mean the difference between an average business and ever-increasing profits. This article gives suggestions for those who have lived with the “hunt and peck” method most of their lives and people who have been taught how to type but want to increase their speed and accuracy.

For those of you, like myself, who have grown frustrated with how long it takes you to type a document, now is the time to learn the proper technique. I must warn you: it will be a challenge. Your brain and your hands have grown accustomed to typing the wrong way. The one problem with learning a bad habit is that you have to unlearn it.
